We are looking for a versatile, detail-oriented, and resourceful person who enjoys coordinating multiple projects at once and collaborating with a wide range of stakeholders to deliver an exceptional customer experience.

 

Your Role

Under the supervision of the assistant director, you will be responsible for the overall coordination of events held at Théâtre Paradoxe.

You will serve as the primary point of contact for clients once a sale is finalized and will ensure that their needs are translated into successful events. You will coordinate with various internal and external stakeholders, monitor deadlines, and help deliver a customer experience that meets Théâtre Paradoxe’s standards.

You will also help support business development activities, particularly by preparing service proposals and bids. Depending on programming needs, you may also be asked to serve as a venue manager during certain events.

 

Main Responsibilities

Coordination and management of event projects

  • Oversee events from confirmation through to the final wrap-up
  • Plan and facilitate pre-production meetings
  • Analyze client needs and propose tailored solutions
  • Develop schedules, run-of-show plans, and operational documents
  • Identify, plan, and coordinate the technical, logistical, and personnel requirements necessary for event execution
  • Serve as the liaison between clients, vendors, and the theater’s various departments
  • Ensure that deadlines, budgets, and quality standards are met

Sales Support and Customer Service

  • Participate in venue tours with clients and partners
  • Assist with the preparation of service proposals and bids
  • Develop and maintain relationships with suppliers and partners
  • Follow up with clients before, during, and after events
  • Identify opportunities for upselling based on client needs
  • Contribute to customer loyalty and the visibility of Théâtre Paradoxe

Field Operations and Management

  • Be present at certain events to ensure they run smoothly
  • Occasionally serve as a venue manager
  • Oversee operations and serve as a point of contact for teams, vendors, and customers
  • Conduct or verify event closings and review sales reports, inventory, deposits, coat check, box office, and other post-event documents
  • Ensure compliance with the theater’s policies, procedures, and quality standards

Administration

  • Handle administrative and financial follow-up related to events
  • Monitor suppliers, contracts, and invoices
  • Help prepare post-event reports
  • Contribute to the continuous improvement of tools, processes, and work methods

Organizational Life

  • Represent Théâtre Paradoxe at select events
  • Be available occasionally in the evenings or on weekends for major events
  • Contribute to the organization’s social mission and outreach

Qualifications

  • Degree in event management, administration, or a related field
  • At least 3 to 5 years of experience in event coordination
  • Excellent command of French and English
  • Excellent interpersonal and customer service skills
  • Proficiency with Microsoft Office and collaborative tools
  • Ability to manage multiple projects simultaneously
  • Excellent organizational skills and ability to prioritize
  • High degree of independence and attention to detail
  • Interest in the events, cultural, or nonprofit sectors

  • Full-time, 35 hours/week - Flexible schedule

  • Primarily weekday daytime hours. Occasional evening and weekend work required depending on the event schedule
  • Start date: September 2026
  • Salary based on experience
